Officers (Elected Board Position)
President
Leads all PTO general and board meetings; acts as the parent and community liaison; partners with Principal and Asst Principal to coordinate activities and meet funding needs. Coordinates the work of all the officers and committees so that the purpose of the organization is served.
Vice President
Supports President at meetings and in communication, stands in when President not available. Oversees communications and marketing calendar and technology committee.
Secretary
Maintains a record of all PTO general and board meetings, create monthly e-newsletter, maintains bulletin board, checks & respond to PTO email. FUMC Liason.
Treasurer
Maintains accurate accounting of all PTO funds; collects and disburses payment for all PTO functions; collects information for and submits documentation to governing entities as necessary. Oversees Sponsorships, spiritwear, and school supplies committees.
Volunteer Coordinator (Bilingual Preferred)
Generates a list of volunteers willing to assist during PTO events; coordinates volunteers for events; maintains contact with volunteers throughout the year. Works closely with Room Parents and Teacher Appreciation Committee and those with high need of volunteers.
Committee Leads (Non-elected Board Position)
Technology Committee
Maintains marketing and communication calendar, maintains the website, checks for grammar and punctuation errors as well as working links and correct dates/information and upholds standards for Facebook, flyers, Remind, and more.
Bilingual/Translating Committee
Assists in all communications both written and verbal as needed to ensure accurate Spanish/English information is disseminated. Helps with outreach and inclusion of the Spanish-only community.
Room Parents
Recruits & leads all room parents; communicates information from PTO board to Room Parents, works to get contact information from parents.
Teacher Appreciation
Leads committee of volunteers & organizes teacher appreciation events throughout the year.
Sponsorships
Call on local business for sponsorships and special events like spirit nights, communicate to and with committee members, follow up on documentation needed for donors.
Community Outreach
Shares and distributes important information about the PTO to the external community, as well as topics of concern that inform and invite action.
After School Programs
Facilitate enriching after-school programs for all students.
Membership
Specializes in outreach and gathering and organizing of contact information for parents to strengthen our community and help include and connect all Caldwell families.
Volunteer Committees & Chairs (non-board positions)
Room Parent (at least 1 needed for each teacher)**
Communicates information to parents within assigned classroom, partners with teacher to plan classroom events, supports room parent lead to gather parent contact information
Teacher Appreciation Committee
Supports the lead in planning, creating crafts, and volunteering at teacher appreciation events
Sponsorships Committee
Support lead in calling on business for sponsorships; follows up with sponsors, write thank you notes
MISD Communication Partner
Attend School Board meetings & relay information at PTO meetings. Partner with district bilingual department to ensure support for dual language program. Coordinate with school administration to evaluate what educational support is needed & follow through that it is received.
Fall Carnival Chair & Committee
Organizes and runs the Fall Carnival alongside board; responsible for planning, decorating, and marketing our biggest event of the year
Sweetheart Dance Chair & Committee
Responsible for planning, decorating, and marketing this fun and successful spring event
FUMC Liaison**
Supports and communicates with our partners at First United Methodist Church
BoxTops & Grocery Program Coordinator**
Develops a program to increase BoxTop collections and submits BoxTops on a monthly basis; coordinates grocery store programs
Technology Committee**
Assists in the maintenance of our digital presence and cohesive messages.
Bilingual Committee**
Assist PTO Board with translations for flyers, newsletters, other written communication and outreach
Spiritwear Coordinator**
Create design ideas for T-shirts, maintain sales history, conduct price research & place orders with suppliers, create order forms, collect & deliver orders to Caldwell families
School Supplies
Price compare & select school supply vendor(s); place bulk orders; coordinate supply requests with Caldwell admin/teachers; submit lists to TeacherList; sort, organize & pack supplies in August, and deliver to classrooms.
LLI Reading Program Coordinator
Recruits & trains volunteers to partner with Caldwell staff to read to students using specialized curriculum.
Environmental Chair & Committee
Bringing environmental awareness and education to students and staff and facilitating environmentally sustainable programs at Caldwell.
Yearbook Committee
Assists Board with creation of yearbook. May take pictures at school events, gathers parent & teacher photos for yearbook use, assembles/arranges layout/pages, coordinates marketing efforts for sale of yearbook, assists in distribution. (Most of the effort is Feb-May)
Nominating Committee
Selects a candidate for each office and presents the slate at a meeting for election.
**Ideal for working parent! These positions can easily be done from home, independently, during evenings/weekends.
What is a Board Member?
Article VI. Section 2 of our Bylows state: "The duties of the Executive Board shall be to transact business between meetings in preparation for the general meeting, create standing rules and policies, create standing and temporary committees, prepare and submit a budget to the membership, approve routine bills, and prepare reports and recommendations to the membership."
